University approves seven revised policies

During spring semester, Ohio University approved the revision of several policies related to guest and temporary housing; emergency notification; membership and use eligibility for campus recreation facilities; acceptable usage and information security. These are the updated policies:

03.007: Guest and Temporary Housing

This policy provides guidelines for guest eligibility and reservation procedures. Ohio University supports the use of select residence hall bed spaces and apartments not being utilized for the current student population, as a means to accommodate faculty, staff, campus guests and visitors.

What has changed: Any changes were related to word choice and formatting.

20.001: Emergency Notification in Case of Student Death or Serious Injury

The purposes of this policy are to provide clear and consistent communication with media and the public, to limit negative effects caused by the circulation of misinformation, to demonstrate respect for the families of students affected by tragedy and to allow for delivery of support services to students and others affected by tragedy.

What has changed: Updated for editing/clarity. “Section B” changed to notify the Dean of Students’ Office when an incident occurs (formerly OUPD). “Section E” added Career and Leadership Development Center and changed Hudson Health Center to Campus Care. “Section F” and “Section G” were updated to differentiate between Athens and regional campus processes.

24.030: Membership and Use Eligibility for Campus Recreation Facilities

This policy establishes membership and use eligibility for the campus recreation facilities on the Athens campus. These facilities consist of the Charles J. Ping Student Recreation Center, Aquatic Center, Walter Fieldhouse, Bird Arena, golf course, tennis courts, disc golf course, golf driving range, competitive sport fields and the Challenge Course.

What has changed: The primary changes made to this policy were to update the list of Campus Recreation buildings throughout, eliminate references to specific practices, instead redirecting to the Campus Recreation website for the most up-to-date information, and to consolidate and clarify membership and access opportunities (e.g. simplified to students, faculty/staff and other eligible individuals).

25.030: Housing Residency Requirement

The purpose of this policy is to define the cohort of students who are required to reside on campus and those students who are eligible to reside off campus.

What has changed: Any changes were related to word choice and formatting.

91.003: Acceptable Usage

This policy provides the guiding principles for use of Ohio University Information Technology resources to achieve its academic and research missions while maintaining a culture of openness, trust, and integrity within our digital spaces.

What has changed: The new version focuses on protecting the availability and integrity of University systems rather than policing specific behaviors. Vague language from the original policy that could be used to restrict freedom of expression has also been removed.

91.005: Information Security

This policy provides an information security framework intended to set expectations, apply proper standards relating to the protection of information assets, and comply with regulatory and contractual requirements involving information security and privacy; all while supporting the open, information-sharing needs of our academic culture.

What has changed: This is a new policy that will establish an information security framework and encourage development of an Information Security Risk Management Program.

91.006: Information Security Risk Management

This policy is intended to assist the University in its efforts to develop and implement an Information Security Risk Management Program that balances the need to protect University information while recognizing the operational needs of the institution. Operational units will be required to obtain risk assessments, identify sensitive data and its storage methods, and implement measures to mitigate those risks.

What has changed: This is a new policy that will establish an information security framework and encourage development of an Information Security Risk Management Program.
